How To Share Your Presentation in Zoom for Remote Speakers
Description:
This article will teach you how to share your screen or slides in Zoom for your remote presentation.Â
Â
Prerequisites:
For the best outcome, we recommend that you use a desktop computer or a laptop to effectively share your presentation.
We strongly suggest you do not use a phone or tablet to present remotely. On most tablets, you cannot share your screen in Zoom and have your camera on at the same time.Â
Arrange a reliable internet connection, especially if your presentation has any videos.
We also suggest you have the "Zoom Client for Meetings" stand-alone application installed on your Mac/Windows machine. You can download it here: https://zoom.us/download
We recommend that you don't use the Zoom extension for browsers (Chrome etc).
Instructions:Â
After you have joined the Zoom meeting, the Arinex Live operator should introduce themselves and will ask you to practice sharing your presentation, just to make sure you are 100% comfortable with the process.Â
Instruction
Ensure your PowerPoint presentation is open, but not in "Slideshow" mode yet.Â
Â
In Zoom, click the green button that says "Share Screen".Â
Â
A window will pop-up that will give you options of what you would like to share with the audience. You can choose to share "Desktop" which is the entirety of your screen(s), or you can choose to share an individual program/app, for example "PowerPoint".Â
We suggest you share your entire Desktop to begin with, unless the operator suggests otherwise.ÂÂ
In the bottom left of this pop-up window are two checkboxes labeled "Share Sound" and "Optimize for Video Clip".
If your presentation has any sound or video embedded, please ensure you click the appropriate boxes if necessary.Â
Â
Now click the "Share" button at the bottom-right of the window.
Â
Â
Navigate back to your PowerPoint presentation, and click the "Slide Show" button in the bottom-right of PowerPoint. Alternatively, click "Slide Show" in-between "Animations" and "Review" in the top bar, and then click the "Play from Start" button.Â
Â
Security Settings for Mac OSX users:
If you are using a Mac computer, you will need to give your Mac permission to "Share Screen" ahead of your presentation if you haven't ever shared the screen before.Â
Instructions
On the top-left of your Mac screen, click the Apple logo, and choose "System Preferences".Â
Now click the "Security & Privacy" button.
Â
Under the "Privacy" tab, scroll down and click "Screen Recording".Â
In the bottom left of the window is a locked padlock, click it and enter your credentials. If the padlock is unlocked, disregard this step.Â
To the right of "Screen Recording" is a list of apps that you have allowed permission to screen record/capture your Mac.
If "http://zoom.us " is not in this list, click the "+" button under the list, click "Applications" in the left-list, scroll down and click "http://zoom.us ", and click "Open".
Click the padlock again to lock it, and close the System Preferences window.
Your Mac is now set up to share.Â
Outcome:
By following the instructions in this knowledge article, you will be ready to share your presentation in Zoom for your pre-recording session, or live remote presentation.
Â
Next Steps
Confirm with the operator that they are receiving the correct signal, and also ensure you can see everything you need to see for your presentation.Â
We strongly suggest that if you have not shared your screen before, you practice it at least once in the days coming up to your event if possible.Â
