Task

  • Create an Exhibitor Type.

  • Create an Exhibitor (booth).

  • Upload a Resource to an Exhibitor booth.

Pre-requisites

  • Created Tenant

  • Created Event

  • If you would like to link an individual to an Exhibitor booth, the individual must already have a User Account created.

Instructions

Exhibitor Types

To create an Exhibitor Type:

  1. Within the Admin Tools Dashboard, navigate to 'Exhibitors' then 'Exhibitor Types' via the black navigational bar on the left hand side.

  2. Click 'Create Exhibitor Type'.

  3. Within the 'Name' field, enter the name of the Exhibitor Type.

  4. Within the 'Summary' field, enter the name of the Exhibitor Type again.

  5. Within the 'Dimensions' field, enter the name of the Exhibitor Type again

  6. Under 'Choose Event', select the Event you would like this Exhibitor Type to apply to.

  7. Under 'Status', select Enabled.

  8. Click 'Submit' or 'Save and Add Another'.

Exhibitors

To create an Exhibitor (booth):

  1. Within the Admin Tools Dashboard, navigate to 'Exhibitors' then click 'Exhibitors' via the blue navigational bar on the left hand side.

  2. Click 'Create Exhibitor'.

  3. Within the 'Company Name' field, enter the name of the Exhibitor.

  4. Within the 'Summary' field, enter a short and snappy summary of the Exhibitor (perhaps a company motto).

  5. Within the 'Description' field, enter a description of the Exhibitor, which will display under an 'About' heading on the Exhibitor's booth.

  6. Within the 'Location' field, you can choose to enter the location of the Exhibitor.

  7. Under the 'Exhibitor Contact Details' heading, you can choose to enter the applicable contact details within each field. The only mandatory field is Website, however it is highly recommended to input an Email Address also for Lead Capture purposes.

  8. Within the 'Featured Video' field, you can choose to enter the URL (for example YouTube or Vimeo) to be used for the Featured Video, or Upload your own in mp4 or x-mpegurl format. This video is shown on the Exhibitor booth below the Header Image and above the About section. If uploading, the maximum file size is 100MB.

  9. Under 'Logo Image', click 'Upload File' and select a Logo to upload.

  10. Under 'Index Image', click 'Upload File' and select an Index Image to upload.

  11. Under 'Header Image', click 'Upload File' and select a Header Image to upload. This image should be 1600 x 900px and we'd recommend avoiding text as it's responsive (may be altered according to the browser size/device).

  12. Under 'Profile Cover Colour', set a custom HEX colour for the header background if you don't want to upload a Header Image.

  13. 'Exhibitor Supplementary Information' is an opportunity to add an additional section to the Exhibitor booth, much like the About section. You can add an Icon, Title for the Section and a Description.

  14. Under 'Exhibitor Configuration', select the Event/s you'd like this Exhibitor to apply to; the Exhibitor Type; and any applicable Themes and Interest Categories.

  15. Under 'Exhibitor Profile Users', you can select Users to link to the booth. Their Profile Photo and Name will then appear on the booth. Under 'Profile Users', start typing the name of the User you would like to link, then select their Name when it appears. You can select multiple Users. Linked Users will be able to edit the booth via the frontend (see Edit button up the top-right of the booth).

  16. Under 'Profile Page Access', you can choose Enable or Disable this. When Enabled, Users linked to this Exhibitor booth can access other Exhibitor booths. When Disabled, Users linked to this Exhibitor booth can only access their own Exhibitor booth.

  17. Under 'Exhibitor Partnerships", you can choose to upload Images and a URL to hyperlink them to. These images will appear in a list on the Exhibitor booth.

  18. Under 'Exhibitor Status' you can decide whether to set the Exhibitor booth to Private or Public (Exhibitors may wish to keep it on Private until they have completed setting up their booth).

  19. Also under 'Exhibitor Status', you can choose to set the Exhibitor booth to Featured. If Enabled, the following will appear:

    • 'Featured' label will appear at the top of the Exhibitor booth;

      • 'Featured' label to the top-right corner of the Index tile on the Exhibitor page

      • The Exhibitor will show on the Home Page (if the 'Exhibitor' Home Page Section is Enabled); Exhibitor at the top of any lists (if multiple Exhibitors are Featured, it will order them alphabetically)

  20. Under 'Lead Capture', you can choose to add a custom label for the Lead Capture button (default label is 'Connect With Exhibitor'). You can also choose to link the Lead Capture button to a URL instead of the Lead Capture form.

  21. Click 'Submit' or 'Save and Add Another'.

Resources

Admin Users and Users linked to the Exhibitor booth can upload Resources for delegates to view and/or download via the frontend of an Exhibitor booth:

To Upload a Resource:

  1. Click the 'Upload File' button as pictured above.

  2. Input a Name for the Resource.

  3. Input a Description for the Resource (optional).

  4. Upload the File (Supported File Types.jpg, .png, .gif, .pdf, mp3, .aac, .flac, .mp4, .avi, .mov, .qt, .wav, .doc, .docx, .xls, .xlsx, .ppt, .pptx, .ppts)

  5. Click 'Submit'.

  6. Once Submitted, you may then Edit, Download, Favourite and/or Delete a Resource.

Notes

  • If you would like to link an individual to an Exhibitor booth, the individual must already have a User Account created.

  • The Lead Capture functionality only works if there is a team member linked to the booth.

Outcome

Exhibitor Type/s created, Exhibitor booth/s created, and Resources uploaded.
